3. Program Logistics: Event Leader

  1. Develop program (title, date, location, topics and sessions, moderators, etc.). (see Appendix g).

  2. Contact and confirm speakers and moderators.

  3. Compile addresses (both direct and e-mail) and phone/fax numbers of steering committee, speakers and moderators.

  4. Provide instruction and periodic reminders to speakers and moderators (format for abstracts, extended abstracts, biographical sketches, photos and manuscripts; deadline for submission of information; guidelines and time allotment for presentation; preparation of PowerPoint and other audio-visual aids; type of travel and other expenses reimbursement; etc.).

  5. Coach speakers and moderators on their responsibilities. (see Appendix h)

  6. Provide instruction to poster presenters; establish criteria and procedure for acceptance; provide guidance for poster preparation. (see Appendix i)

  7. Develop contingency plans for speaker/moderator/poster cancellations, inclement weather, audience overflow, emergencies, etc.

  8. Keep moderators informed about their panel or session to facilitate their preparation (abstract, biographical sketch, time allotted, etc.).

  9. Conduct media briefings, press conferences and interviews when appropriate.

  10. Familiarize speakers and moderators with fellow panelists, protocols for time management and questions from the audience, etc.

  11. Share event evaluation with steering committee, speakers and moderators.
